Who does this supplementary privacy notice apply to?

This supplementary privacy notice applies to suppliers (including sole traders).

What information do we collect and why do we need it?

The information about you which we collect during the supplier management process is your:

  • Business name;
  • Name;
  • Address;
  • Bank details;
  • Email address; and
  • Phone number.

We need to gather this data about you to ensure that supplier invoices can be updated into our internal finance and supplier management system, and that suppliers are paid accordingly; and for our ethical trading risk assessment purposes.

Who will have access to your personal information?

We may share your personal data with our third party processors, Bankline and Bottom Line Technologies, who submit BACS files on our behalf; and with PwC for ethical trading risk assessment purposes.

How is processing your information lawful?

The OC’s lawful basis for processing your information is that it is necessary for the performance of a contract we have in place with you, the supplier or sole trader; and in respect of our ethical trading risk assessment the processing is necessary for compliance with a legal obligation to which we are subject, for example the Modern Slavery Act.

We will retain your details on our systems until the end of the current year plus six years.
