Who does this supplementary privacy notice apply to?

This privacy notice applies to all those involved with the Queen's Baton Relay, including: children (and their parents/guardians), athletes, B2022 staff, Commonwealth Games Association ("CGA") contacts and local authority contacts.

What information do we collect and why do we need it?

The information about you which we collect for the purpose of your involvement in the Queen's Baton Relay and your application through our Nomination Portal is your;

  • Name;
  • Postal address;
  • Email address;
  • Telephone number;
  • Date of birth;
  • Uniform sizing data;
  • Passport details (where necessary); and
  • Photo ID

We may also collect and process children's data and medical data (a special category of data), such as any disabilities or allergies you may have told us about.

We want to let you know that, if someone has nominated you, via our Nomination Portal, to take on Queen's Baton Relay activities then we will also have collected your personal data from that individual, who will have provided us with your name and contact details so that we can get in touch with you regarding your nomination.

We need to gather this data about you to:

  • Share information on various events with different Stakeholders (for example, community groups and local authorities);
  • Work with various community organisations in the delivery of the UK Queen's Baton Relay;
  • Receive nominations from members of the general public to take on Queen's Baton Relay activities;
  • Perform background and eligibility checks for security purposes; and
  • Provide you with equipment and uniforms for the Queen's Baton Relay.

Who will have access to your personal information?

We may share your personal data with the following entities:

  • CGA and Commonwealth Games Federation ("CGF") staff;
  • Local authority staff;
  • Department for Digital, Culture, Media and Sport ("DCMS");
  • Police;
  • Suppliers; and
  • Courier Companies.

How is processing your information lawful?

Our lawful basis for processing your information is that it is necessary for our performance of a public task in the public interest.

Our lawful basis for the processing of any special category data is that it is necessary for reasons of substantial public interest.

How long do we keep your personal data?

We will retain your details on our systems until the end of 01/09/2022, by which date all personal data collected for the purpose of the Queen's Baton Relay and our Nomination Portal will be deleted.
