About the role

This is a great opportunity for someone looking for a first job in the industry and where better to start or develop you career than Birmingham 2022 Commonwealth Games as a Team Administrator, Culture, Ceremonies & Queens Baton Relay to support the CCQ team to delivering a suite of world-class creative projects. The individual will have excellent attention to detail, be willing to learn quickly in a fast-paced environment and have a love for admin and organisation. This role will be reporting to the Head of CCQ.

Main responsibilities

Key responsibilities include:

You will be providing administrative support to enable the day-to-day delivery of the Culture, Ceremonies & Queen’s Baton Relay (CCQ) division of the OC. This position will work across all the operational areas of the CCQ division from ceremonies and sport presentation, to live sites and culture, and the Queen’s Baton Relay itself. Other responsibilities include:

  • Proactively manage the day-to-day administration of the team, including scheduling meetings, maintaining electronic filing, managing and ordering supplies, and coordinating key tasks related to the CCQ division.
  • Supporting the delivery operational plans for CCQ including but not limited to the ceremonies, cultural programme or Queen’s Baton Relay programme.
  • Working with the Finance FA to log and fie supplier and customer invoices, as well as purchase order requisitions and supplier creation.
  • Tracking project milestones and key deliverables.
  • Maintaining a suite of project documents, including plans, calendars, schedules, project logs and CCQ budget spreadsheets.
  • Drafting briefing notes, coordinate guest lists and prepare joining instructions for CCQ events.
  • Working across the CCQ projects to support the delivery priorities of individual programmes.

 

Experience required

The successful candidate will have:

  • You will have a keen interest in the events industry, particularly in relation to the arts.
  • The successful candidate will have proven effectiveness in delivering high-profile creative projects and managing budgets within a multi-stakeholder environment.
  • You will have a ‘can do’ attitude that enables you to work in a fast-paced environment, frequently under pressure, on multiple tasks effectively and efficiently.
  • You will have experience and Knowledge of Microsoft Office and the ability to organise tasks effectively and deliver to a high standard on time.

 

Qualifications
  • At least 5 GCSEs or an equivalent Level 2 NVQ / apprenticeship qualification.
